To beginn with, here are parameters that you should or could set-up for DormBook:
Edit reservations:
A:
This function defines if a booking can be opened simultaneously on several workstations. Workstations are defined as DormBook users.
B:
A choice should be made for the value of the upper right function of the dialogue box Edit reservation:
- “OK” saves and closes the dialogue box.
- “Save” saves the changes while the dialogue box remains open.
(1) Should the details regarding each guest/bed be displayed in the Edit reservation dialogue box or not? The area is shown in red on the picture below and described as (1) and (2).
(2) Should the date of birth of each guest be shown or not? The area is shown in red on the picture and described as D.
(3) hide the button for the additional payment functions (credit cards)
(4) define the payment type to be used when a credit card is charged (by stripe)
Main window (Booking overview):
E: Concerns the warning when you change beds or rooms from one category to another in the booking overview with the function «Optimize rooms».
Important: Prices are not automatically adjusted when changing room categories.
F: Normally the colour scheme of the view “arrival” changes at 00:00. With this parameter you can set the change of the colour scheme “arrival” to another time, until 12 hours before or after 00:00.
G: Send DormOnline e-mails (context menu). When activated this function allows to send the same e-mails manually out of DormBook as they are used for DormOnline bookings. There are automatically six options available in DormBook (new, changed, deleted in German (de) and Englisch (en)). They can be sent from the reservations overview by choosing over the context menu.
H: This defines which booking sheet will be sent by e-mail with “Check-out + e-mail” in DormBook (context menu):
New guests conditions:
I, J, K: These conditions apply only to DormBook and not to the online interface.
L and N: When these options are chosen, the DormBook user needs to key in manually for each booking the agent or the booking channel.
The other option is for the agent to be set by default by the system and the booking channel is attributed to the one saved in M. In all cases, both agent and booking channel can be changed manually at anytime by the DormBook user.
O: The additional fees are often calculated by person, by night or as a combination of both. If the number of guests and/or the length of a booking is changed, these additional fees are not automatically recalculated. If you activate the function O, the extra fees are recalculated each time there is a save done on a given booking and the attention of the user is drawn to any potential discrepancy which may arise.
P: When this option is selected, the DormBook user needs to enter manually the payment type for each booking.
If this option is not selected, the payment type is by default the one saved in Q. The DormBook user can in any case manually change the payment type to another one.

Please select the guest fields in which the scanned data should be filled in.
For special fields (Gender and Document type) DormBook stores the scanned value by default. If a translation is needed, a table as shown above defines what is stored in the fields
V: As cancelling manually a “no show” status is rather tedious, you can insert here an alert.
W: Should the system allow the change of status to “check-in” only when the booking has been paid in full?
Four levels of login privileges are available: anonymous, limited staff, staff, manager.
Nine parameters (X) are available to define what functions are accessible to each level of login privilege. Start by defining the privileges of the lowest access level; the levels above are automatically given the same access to which you add further privileges. Although choosing log-out automatically “never” the levels with access to see credit card details will be logged out automatically after 15 minutes.
